If you are connected to your accounting system, all of the bills in that system can sync to Koverly automatically. Additionally vendors who use Koverly to present their bills, as well as those who are connected to a portal will also have their bills entered automatically. In all other cases you will need to enter bills manually.

Before adding a bill, it is important to have the vendor added to the "MY" list in the "Vendors" tab. Unless you are connected to the vendor's portal (available in certain states) or your accounting system, you will have to add your bills manually.

Getting to the "Bill Details" screen

The simplest way to get to the "Bill Details" screen is from the "Bill Pay" section. Go to the "Bills" tab and click the "ADD BILL" button in the upper right of the screen. In the next step you will have to enter the bill details and click "SAVE".

Note: You can also get to the "Bill Details" screen using the orange "+" button in the upper left of the screen. This menu has several other useful options as well. Finally, you can also get to the Bill Details screen from the "Vendor" tab of the payments section; just click on the vendor, and then click on "bills" in the panel in the right hand section of the screen. From there click on the "ADD BILL" Button

Whichever method you choose, you will have to make sure all the bill details are entered correctly.

  • Bill <> Credit - you can choose between entering a bill or credit.

  • Vendor name - if you are entering a bill through "Vendors" section this will automatically display the vendor's name (you can always change the vendor). Otherwise, if you start typing you will see suggested options.

  • Bill amount - enter the amount of the bill from the invoice (for foreign payments make sure you are using correct currency)

  • Bill # - enter the bill number (note: some vendors may have no bill number ex. utility bills. In this case you can use a month and a year of the bill ex. 06/22)

  • Terms - every vendor has their own terms. Terms define how much time you have to pay your bill from the bill date. You can choose them from the drop down list or create new terms.

  • Bill date - enter the bill date from the invoice (the date when the invoice was issued or when you received the invoice)

  • Due date - it is automatically set based on the terms (note: it is not the date when you decide to pay the invoice. It is simply to show you when is the last day to make your payment)

  • Note to self (optional) - if you need to put any information about that bill you can enter it here.

  • Image box - you can add a PDF version of the bill to keep it for your record.
